3、ty in the meeting and eventindustry. It is a tool for event planners and suppliers to understand the attributes of an environmentallysustainable event. The goal in developing this specification is to establish common benchmarks forenvironmental performance in events for both planner and supplier sec

4、tors. This specificationconsiders the creation of an environmentally sustainable event to be a partnership between plannersand their suppliers. Each plays a critical role in the effort.In this specification, options are addressed for minimizing the environmental impact of face-to-faceevents. The app

5、roach of this specification is to focus on measurable outcomes and policies for plannersand suppliers. This maximizes the ability of businesses to select the methods best tailored to theirneeds to achieve benchmarks and measurable outcomes.1. Scope1.1 This specification delineates procedural require

6、mentsfor exhibits and expositions for meetings, events, trade shows,or conferences (hereafter, referred to as events). This includesthe set up and dismantling of trade shows and the exhibits thatare built within the event floor.1.2 This specification identifies environmental sustainabilitycriteria t

7、o be included in exhibits and expositions by planners,general service contractors, exhibitors, exhibit builders, andexhibitor-appointed contractors.1.3 There are nine specifications covering the followingareas of event planning: destination selection, accommoda-tions, food and beverage, audio visual

8、, onsite offices, commu-nication and marketing materials, transportation, exhibits, andvenues. Within each specification are eight categories criteria:staff management policy, communications, waste management,energy, air quality, water, procurement, and community part-ners. Each category is further

9、split into four progressive levelsof achievement. Information within each specification is di-vided as follows: Main BodyScope, Referenced Documents,Terminology, Planner Requirements for Level 1, Supplier Re-quirements for Level 1, and Keywords; AnnexesPlannerRequirements for Levels24,andSupplier Re

10、quirements forLevels24.1.4 All areas of performance under this specification maynot be relevant for each event or for each facility or provider ofmeting services. In some cases, an event planner would use thisspecification in conjunction with other specifications (forexample, Specifications E2774, E

11、2743) or this specificationmay be used individually. In other words, elements of an eventmay be separated and considered solely or added together andconsidered as a unit (for example, venues used individuallyversus transportation, accommodations, and destination selec-tion used in conjunction). Furt

12、hermore, this specificationapplies separately to each supplier for an event. This meansthat if multiple suppliers are used within the context of a singlespecification, each supplier shall individually meet the supplierrequirements. In cases, where it is incumbent upon planners toconsider the activit

13、ies and responsibilities of all suppliers foran event, not only the primary suppliers addressed in thisspecification, the term event supplier shall be used. Therequirements for suppliers do not apply to event suppliers. Tobe considered an environmentally sustainable event at Level 1,all areas applic

The idea behind the levels is to provide acoherent baseline for measuring environmental performance,to be flexible enough to adapt to the needs of more advancedplanners and to establish a performance path that encouragesfurther env

17、ironmental performance improvement. In addition,the evolution of products and services to support events isexpected allowing additional advancements and underscoringthe dynamic nature of environmental sustainability. This speci-fication primarily focuses on environmental sustainability,while some as

18、pects of economic and social sustainability areincluded recognizing the complete path toward overall sustain-ability.1.7 This standard does not purport to address all of thesafety concerns, if any, associated with its use. It is theresponsibility of the user of this standard to establish appro-priat

Terminology3.1 Definitions:3.1.1 biodegradable, adjcapable of decomposing undernatural conditi

Level 1 Requirements4.1 Planner Performance Requirements:4.1.1 Staff Management Policy:4.1.1.1 The planner shall maintain a written environmentalsustainability policy for its organization, available for stake-holder review, do

41、cumenting a vision, objectives, and goals forsustainability that addresses all the applicable environmentalcharacteristics as described in this specification (staff manage-ment policy, communications, waste management, energy, airquality, water, procurement, and community partners).4.1.1.2 The plann

42、er shall have written environmental objec-tives and performance criteria related to the specific event thataddress all the applicable environmental characteristics asdescribed in this specification (staff policy, communications,waste management, energy, air quality, water, procurement,and community

43、partners) related to the specific event andinclude these objectives in the RFPs.4.1.1.3 The planner shall designate one or more staff mem-bers to implement the environmental sustainability initiativesrelated to the exhibits components of the event.4.1.1.4 The planner shall consider whether the plann

44、edexhibit facility meets the sustainable qualifications set for theexposition and document a policy that includes a definition ofexpectations, requirements, and goals.4.1.1.5 The planner shall implement a no-idling policy of nomore than five minutes of idling every hour in the dock/yard.4.1.2 Commun

45、ications:4.1.2.1 The planner shall maintain records of all environ-mental efforts, and shall make those records available tostakeholders and for reference for planning future events.4.1.2.2 The planner shall ensure all appropriate personnelare made aware of, and can communicate effectively, theenvir

46、onmental policy of both the planner and the supplier.4.1.2.3 The planner shall distribute a written environmentalsustainability policy with guidelines and objectives to exhibi-tors by at least one or more of the following methods: exhibitorprospectus, e-newsletter, or website.4.1.2.4 The planner sha

47、ll communicate necessary informa-tion about attendance and estimated sample needs in order forexhibitors to appropriately supply their booths onsite.4.1.3 Waste Management:4.1.3.1 The planner shall include a clause in the RFPand thecontract for the suppliers services requiring suppliers to meeta min

48、imum of supplier Level 1 waste management practicesand environmental performance outcome measures as definedwithin this specification.4.1.3.2 The planner shall communicate necessary informa-tion to exhibitors, vendors and suppliers in an environmentallyresponsible manner using at least one or more o

49、f the listedmethods: exposition micro-site, online ordering, email, digitalbrochure, or website.4.1.3.3 The planner shall achieve a minimum diversion rateof 40 % for the event for the exhibit floor.4.1.4 Energy:4.1.4.1 The planner shall include a clause in the RFPand thecontract for suppliers services requiring suppliers to meet aminimum of supplier Level 1 energy management practicesand environmental performance outcome measures as definedwithin this specification.4.1.4.2 The planner shall require the facility to operateexhibit hall working lights
